Frequently Petitioned Regulations

Some of the most frequently petitioned regulations as follows: 

Academic standing regulation waived - e.g. required withdrawal/debarment/honours standing. Students wishing to petition their required withdrawal or debarment should do so no later than the end of October and must do so in the year of the decision).

  • Adding course(s) past the published deadline(s)
  • Deferred Standing for final exams or outstanding term work (see section on deferred standing petitions)
  • Exemption from the deadline to submit a petition requesting deferred exam(s)*
  • Degree requirements waived or altered
  • Dropping course(s) past the published deadline(s)*
  • Re-entry to the Faculty (Education only)
  • Exemption from the deadline to submit a request for a grade reappraisal*
  • Second stop-out year (Education only)
  • Taking a science course for a third time (Pure and Applied Science only)

*Except for in the Faculty of Education, you must also submit a Student Course Performance Summary for these petitions (available with petitions forms from the Registrar's Office or the Faculty Council Office).  

Accessing your file 

Any information or documentation related to a petition is confidential and restricted to the office staff and Committee members involved in the decision-making process of your petition. In all Faculties, you may request to review the information in your file before a final decision is reached. In the case of an academic dishonesty hearing they must give you your file.  

Filling out the forms 

This section applies in general to all Undergraduate Faculties 

1. Guidelines and instructions.  

2. Undergraduate Academic Petition Form: this is a general form which asks for identifying information such as name, student number and program of study. You will be asked to list the documents you are submitting with your petition and the courses you are petitioning.

3. Faculty of Science and Engineering Deferred Standing Request Form: this form, to be submitted along with the Undergraduate Academic Petition Form and the Student Course Performance Summary simply asks which courses you are asking to have exams deferred for. They also ask you to list your other courses in that year, whet- her or not there was an exam(s) in the formal exam period, and whether or not you wrote the exam(s). They also ask for the dates and times of the exam(s) you may have written as well as the exam(s) you are requesting a deferral for.  

4. Attending Physician's Statement Form: this form has two parts, one to be completed yourself and the other by your physician. This form asks you to sign a statement authorizing your physician to release to the Registrar's

Office the information requested on the rest of the form.

The physician is asked the following information: 

  • the date they received the form
  • the dates s/he had a consultation with you
  • the nature of the illness and treatment prescribed
  • the duration of the illness
  • when you are likely to be able to resume your studies
  • whether or not the illness and medication prescribed would have seriously affected your ability to study and otherwise perform and if yes, in what way.

This form must be signed and stamped by the Physician.  

5. Statement Form for a Counseling and Development Counselor: this form is for use only by counselors and interns at the York Counseling and Development Centre and will only be completed if you are already a "client".

As with the Attending Physician's Form you are requested to confirm with your signature that you are authorizing the release of the information requested on the form. The Counselor is asked the following information: 

  • the date they received the form
  • the nature of the counseling issues and the effect on your ability to study and perform
  • the consultation dates and the period of time during which your performance would have been "hampered"

6. Student Course Performance Summary: this form is to be filled out by the Course Director, or the Department or Divisional Undergraduate Programme Director or Chair, or the Master of the College, acting on behalf of the Course Director, for each course in which special consideration is being requested. While some Course Directors may forward the form directly to the Registrar's Office, you must be given access to it upon request. Your petition will not be considered without this form being submitted.  

There are two sections to be filled out, one by yourself and the other by the Course Director. In your section you are asked to briefly explain what it is you are petitioning. While the Course Director is required to fill out the form, you are under no obligation to discuss the details or circumstances of your petition with her/him.

The Course Director will be asked the following: 

  • to the best of your knowledge, did the student attend classes regularly?
  • what are the grading components and assignments for the course? what was the percentage marking weight for each? What grade was assigned for the student in these components? when was the grade available to the student (especially those before the withdrawal deadline)? the due dates of written work, tests and exams, and whether or not the work was received
  • whether there is any additional information which may assist the Committee in granting or denying the petition. Of course it will always be better if you have at least a
  • passing acquaintance with your Professor. If she or he does not ever remember you being in class you are probably going to find that the summary does not really support your petition.

7. Petition Form to Enroll Late: most Faculties at York with the exception of Science and Engineering use this form. It must be handed in along with a signed Course Transaction Form for each course being added. This form asks for basic information including the course(s) you wish to add and for how long you have been attending them. You are also given the opportunity to explain why you are not already enrolled in the course(s).
